Entry Profiles checklist

Before you send your Entry Profiles through for approval, please use the following checklist:

  • If you have decided to use only URLs in your Entry Profiles, have you checked to make sure that they are all properly coded with HTML where necessary, and do they direct viewers to the relevant web page on your institution website? All URLs submitted as part of the text option must be correctly formatted with HTML to make them clickable to the end user.

If you have decided to use both text and URLs in your Entry Profiles, have you checked the following:

  • Have you used British English throughout (profiles in Welsh must include an English translation)?
  • Have you used spell-check software and read the text through to check for grammatical errors, extra spaces, etc? Using Firefox as a web browser will automatically allow the user to perform spell checks on Entry Profile data submitted via web-link. The spell check should be set to 'English UK'.
  • Are all your URLs properly coded with HTML and do they direct viewers to the relevant web page on your institution website? All URLs submitted as part of the text option must be correctly formatted with HTML to make them clickable to the end user.
  • Have you removed any unnecessary line spaces? Using Notepad to prepare Entry Profile text will remove any additional unseen HTML coding that may have been included in an MSWord document. This will enable the user to remove any double-line spacing or formatting from the original document. (Notepad is located via All Programmes, then Accessories on a PC, and may also be called Wordpad depending on the version).
  • Have you left "Row 2" empty so that it can be filled automatically with the entry requirement information from web-link? Row 2 should be given the Heading of 'Entry Requirements' and should not be populated with any URL, email address or text. Any entry requirement information added to this row in any line, other than that which is auto populated from the course record on web-link, and any entry requirement information added to any other row or line will be removed to prevent duplication or contradiction of information for the end user.
  • Have you checked that for each line within the Entry Profile, you have one of the following:
    • an active and appropriate URL
    • an active and appropriate email address
    • appropriate and relevant text content.
  • Have you checked links to videos are correct? A limited amount of videos may be embedded in the text, but please note that, some schools and colleges block videos, and some may have limited bandwidth, meaning videos will take longer to load.
  • Are your graphics and images less than 430 pixels wide?
  • Have you checked that all text refers to the year of entry for the course?
  • Is the Entry Profile tailored to the specific course?
  • Are items in bold, italics, colour, and all other formatting such as bullet points correctly coded in HTML? Formatting of Entry Profile text (such as bullet points, lists, bold type, italics etc) must be added in HTML. MSWord cannot be used as this will not translate into accurate HTML when pasted into the Entry Profile text frame. UCAS can supply a basic document of common HTML commands upon request.

If you can answer 'yes' to all of these, your Entry Profile is ready to send through for approval.
