Salary: £25,600 to £38,400 (dependent on experience)
Overview
To provide Executive level support through the delivery of high quality corporate and business leadership and management support. In particular, the role holder will have accountability for the operational management of the Policy and Research office which will in turn enable the successful delivery of the Business Unit's strategic and organisational imperatives.
Role responsibilities:
- Accountable for the delivery of high quality support to the Director of Policy and Research, anticipating their needs and meeting the high standards of internal and external interface commensurate with the work of the Director and the department.
- Manage the planning, input and preparation for speeches, briefings presentations and events on behalf of the Director and Assistant Director of Policy and Research commissioning input from other UCAS colleagues as appropriate.
- To ensure that key meeting papers, speeches and presentations are commissioned, drafted by UCAS colleagues on time and to quality by progress chasing and tracking deadlines.
- Responsible for ensuring data related FOI requests are dealt with in accordance with designated timeframes and apply the appropriate exemptions. Responsible for making recommendations to improve the process and that the process works optimally for the Policy and Research department.
- Where appropriate, attend internal and external meetings and events on behalf of the Director or Assistant Director to ensure any actions or matters arising are progressed and completed effectively and to time.
- Identify risks and issues affecting Policy and Research and UCAS data before they arise and provoke appropriate tactical interventions that lead to resolution. In so doing acting as the Departmental Risk Champion.
- Responsible for working in conjunction with the Assistant Director of Policy and Research for unit-wide business continuity plans, disaster recovery plans with regular reviews and input into the companywide business continuity activity.
- To lead on procurement and contracts management for specialist services on behalf of the Director of Policy and Research.
- Accountable for the delivery of complex project work and special assignments on behalf of the Director of Policy and Research.
Minimum criteria:
- Educated to degree level or equivalent qualification or experience.
- Management qualification, eg Certificate or Diploma in Management Studies, preferred.
- Prior experience within an Executive Assistant and/or project management role in an extremely busy environment.
- Broad understanding of the UK HE business environment.
- Demonstrable experience of developing and maintaining professional networks and relationships with internal and external contacts.
- Understanding and experience of project management principles.
- Absolute discretion and confidentiality.
- Strong influencing skills.
- Confident and assertive.
- Highly competent user of Microsoft Office to include PowerPoint, Excel and Outlook.
- Experience of budget preparation and management.
- Ability to read and understand complex policy documents.
- Excellent use of English with ability to communicate difficult subjects in a concise manner.
- Line management experience highly desirable.
