Programme Support Manager

Salary: Circa £36,000 (dependent on experience)

Overview:

To support the Programme Office Manager in delivering high quality programme and project management through assuming day-to-day responsibility for programme and project planning and reporting; supporting proactive management of plans risks, issues, interdependencies, benefits and governance arrangements so as to enable the programme, work streams and projects to be managed and delivered on-time.

Role responsibilities:

  • Develop and maintain accurate and up-to-date programme, work streams and project schedules in MS Project, including the identification and mapping of interdependencies, to ensure that key activities are co-ordinated and monitored to support the delivery of UCAS' outcomes.
  • Monitor the progress of critical paths for the programmes, work streams and projects and alert the Programme Director, Programme Office Manager and Programme Manager to resource pinch-points in order to ensure programme and project delivery remains on track.
  • Oversee the coordination of the management reporting process, ensuring that programmes, work streams and projects provide up-to-date and accurate management information, to enable governance boards to make effective decisions.
  • Develop and maintain the programme and/or work stream dashboard, schedule, management log, dependency log, and communication plan providing aggregated analysis where appropriate.
  • Develop and manage the prioritisation model providing recommendations and analysis to the Programme Board.
  • Contribute and embed the Benefit Management Framework across the programme, work streams and projects providing a benefit realisation support service. To assist the Senior Responsible Officer and / or executive work stream sponsors in leading benefit reviews.
  • Liaise with the Finance team regarding the setting, monitoring and forecasting of programme and project spend.
  • Adoption of the Corporate Risk Management and Issue Resolution Framework to ensure that risks and issues are identified, documented and understood so that mitigation, contingency, and action plans are in place to minimise the impact on programme and project delivery.
  • Introduce appropriate project, work stream and project governance in order to improve standards of project and programme management, ensuring delivery and the management of successful outcomes.
  • Act as a key point of contact in initiating, planning, facilitating, and responding to internal delivery confidence reviews, gateway reviews, and audits in order to receive assurance that the programme and projects are being delivered successfully within appropriate governance. The role-holder will be actively involved in facilitating the reviews, providing challenge and scrutiny ensuring appropriate action is taken based upon the review outcome.
  • Support the Programme Director and Programme Office Manager through taking responsibility for contributing to the programme and project boards, so as to deliver successful programme and project objectives and outcomes.
  • Build and manage effective working relationships within UCAS and externally with key partners and other stakeholders, in order to ensure buy-in for key programme and project objectives.

Minimum criteria:

  • Demonstrable delivery experience of portfolio, programme and or project management in an organisation of comparable size, scope and complexity as UCAS.
  • Management accredited programme and project qualifications (one or more of P3O, MSP, PRINCE2, MOR, MOP).
  • Excellent interpersonal and communication skills with the ability to influence others.
  • Strong understanding of commercial and technical business change programmes.
  • Experience of developing executive level reports and using PowerPoint and MS Office applications.
  • Experience of using portfolio, programme and project management (EPM) tools would be desirable.
