Programme Coordinator

Salary: £19,200 to £28,800 (salary dependent on experience)

Overview:

The role holders will provide support for programmes, work streams and projects, including supporting risk and issue management, programme and project planning, benefit management, analysis and reporting. The role holder will work in a fast-paced, complex environment to support successful programme, work stream and project delivery. The scope of this role includes providing guidance to the project managers.

Role responsibilities:

  • Support and undertake the full range of PMO activities including: creating & updating the programme and/or work stream plans and schedules, dashboard/progress reporting and analysis, benefit registers, gateway reviews and configuration management. Support and champion the embedding of programme and project governance and management frameworks across UCAS. Implement guidelines, procedures and templates to collect and maintain consistent data and provide a hands-on delivery support to the programme, a work stream or project.
  • Implement agreed regular progress-reporting for the programme, work streams and projects and thereby monitor the progress of delivery and realisation of benefits.
  • Develop and maintain the programme and work stream management logs, which includes risks, issues, quality reviews, lessons, actions and decisions.
  • Develop and maintain the programme and work stream benefits registers providing a benefit realisation support service.
  • Monitor the progress of baselined critical paths for the work streams and projects to ensure work stream and project delivery remains on track.
  • Proactively identify, document, and escalate risks & issues to enable mitigation, contingency, and action plans to be put in place.
  • Facilitate risk, issue, change-control and quality review processes.
  • Support the preparation, implementation, monitoring and evaluation of projects within the work stream and/or programme - eg through data collection, drafting progress reports, and supporting preparation for internal reviews, health-checks, gateway reviews, and audits.
  • Working to the Programme Office manager, undertake the planning and assessment for project gateway reviews.
  • Liaise with the Finance team regarding the monitoring of financial spend and benefit realisation.
  • Support the business planning process specifically for the programme, work streams and projects.
  • Organise and coordinate meetings, events and communications, eg sourcing venues, creating meeting packs, drafting communications.
  • Develop and maintain administrative systems and procedures, to support effective management of work, including document management and tracking tools.
  • Support the team and other programmes of work as required, undertaking other work as directed, in order to build a high performing organisation.

Minimum criteria:

  • Experience of working as a programme / project coordinator or similar role within a PMO environment.
  • PRINCE2 Foundation or a recognised programme, portfolio or risk management qualification.
  • Experience of supporting project and programme planning, project financials and project record keeping.
  • Experience of identifying and escalating risks and an understanding of risk management, issue resolution and contingency planning.
  • Attention to detail, ability to record and collate complex information.
  • High degree of competence in the use of Microsoft Project, Word, Excel, PowerPoint and Visio.
