Business Manager to CEO

Salary: £25,800 to £37,200 (dependant on experience)
Overview:
To manage the CEO Office and support the CEO in the delivery of high quality corporate and business leadership and management. In particular, the role holder will have accountability for the operational management of the CEO office which will in turn enable the successful delivery of corporate strategic and organisational imperatives. These activities will include matrix management of the Director's Personal Assistant and related activities.
Role responsibilities
- To maintain close oversight of the CEO's current and future commitments in order to forward plan for effective time management and workload planning.
- To ensure the CEO is fully briefed by colleagues prior to all meetings and engagements on strategic issues of importance and to enable her to make informed decisions.
- Manage the planning, input and preparation for speeches, briefings presentations and events on behalf of the CEO commissioning input from other UCAS colleagues as appropriate.
- Manage all tasks associated with planning, organising and reviewing actions from the weekly Executive Meetings and other meetings as required.
- To ensure that key meeting papers, speeches and presentations are commissioned, drafted by UCAS colleagues on time and to quality by progress chasing and tracking deadlines.
- To work with the CEO's PA to monitor, filter and prioritise correspondence (including email) to the CEO's office, commissioning the appropriate response or completing it on behalf of the Chief Executive accordingly.
- Work closely with the corporate governance office to ensure that the CEO is prepared for Board, Council and Board Committee meetings, assist with agenda planning and preparation/quality assurance of papers.
- Where appropriate, accompany the Chief Executive at internal and external meetings and events to ensure any CEO actions or matters arising are progressed and completed effectively and to time.
- Support the CEO in discharging her line management of the Executive Team including recruitment and resource management, performance management, and learning and development.
- Support the CEO in leading and managing Executive/SMG and all staff strategic and developmental events through preparation of the forward planner, setting agenda, logistics, input materials and capturing/tracking actions.
- Manage the Executive Team leave and absence calendar ensuring there is adequate cover during critical business period and escalating risks/issues to the CEO as appropriate.
- Identify risks and issues before they arise and provoke appropriate tactical interventions as directed by the CEO that lead to resolution.
- To prepare and manage the CEO budget, operational plan and monitor actual against forecast.
- To lead on procurement and contracts management for specialist services on behalf of the CEO.
- Matrix management of the CEO Personal Assistant.
- Be an active member of the Corporate Services Leadership team by providing support to other functions and colleagues.
- To manage ad hoc projects for the CEO as they arise.
Minimum criteria:
- Educated to degree level or equivalent qualification or experience.
- Management qualification, e.g. Certificate or Diploma in Management Studies, preferred.
- Prior experience within an Executive Assistant and/or project management role in an extremely busy environment.
- Understanding of the context of a CEO office and the nature of the work involved.
- Broad understanding of the UK HE business environment.
- Demonstrable experience of developing and maintaining professional networks and relationships with internal and external contacts.
- Understanding and experience of project management principles.
- Absolute discretion and confidentiality.
- Strong influencing skills.
- Confident and assertive.
- Highly competent user of Microsoft Office to include PowerPoint, Excel and Outlook.
- Experience of budget preparation and management.
- Ability to read and understand complex policy documents.
- Excellent use of English with ability to communicate difficult subjects in a concise manner.
- Line management experience highly desirable.
